At the end, invite the student to book regular lessons and help them schedule through your dashboard.

Following Up with Students in Your Studio: If a student does not book regular lessons immediately, follow up personally. Tunelark sends an email series, but your personal touch makes all the difference.

Ongoing Lessons: Maintain a regular schedule. Show up to each lesson prepared. Maintain accurate lesson records in your dashboard to ensure correct communication and billing.

Managing Student Departures: If a student decides to leave, thank them warmly and let them know your door stays open. Keeping it open is part of running a Tunelark studio, not a courtesy: unless a student has asked you not to contact them, keep in touch after they go. Time it around the milestones you already know about, such as the audition a student was preparing for, and simply ask how it went. A monthly studio newsletter to all of your current and former students is the easiest way to do this at studio scale. You decide your own schedule, including when you teach, when you take time off, and how much of it you take. We do not set your hours.

What Tunelark decides is how your availability affects what we do on our side: whether we list you on the Find-a-Teacher page, whether we send you new Tunelark students, and how we support your students while you are away.

Two standards apply:

Available to teach at least 46 weeks per year

No break longer than three consecutive weeks from any student’s regular lessons

That works out to six weeks off per year. Handle it yourself:

Leave the lesson series in place. Cancel or reschedule the individual lessons that fall in the dates you are away. Do not cancel the series itself.

Give your students at least 14 days’ notice.

Block the dates on your calendar. Add an all-day busy event to each individual day you are away, on the Google Calendar you connected in Settings. Add one event per day rather than a single event spanning the whole period. Events on a different calendar, or on a sub-calendar inside the one you connected, are not visible to Tunelark.

Toggle “new students” off on your Settings page for the period you are away, and toggle it back on when you return.

Book your students’ returning lessons before you leave.

Do not cancel the lesson series

Cancelling a series releases your student’s regular slot and ends the standing arrangement. When you return, your student has to decide all over again whether to continue, and students who have to make that decision often do not. Cancel the individual lessons that fall in your dates away and leave the series itself running.

Come back to a full calendar

Every student who had an active lesson series when you left should have their returning lessons already booked before you go, at their usual day and time wherever possible.

Your students should not have to hear from you after you return to work out when lessons start again, and you should not have to chase them. A student who comes back to an already-booked lesson usually continues. A student who has to be re-recruited often does not. Handle it before you leave.

Booking still happens while you are away

Giving notice does not stop a booking. A lesson booked into a week you are not teaching has to be cancelled, and cancelling a trial lesson carries a penalty. Closing the dates in advance avoids it.

More Than Three Weeks

A break longer than three consecutive weeks is different. A gap that long has a real effect on whether students continue at all, and depending on how long you are away, we may arrange for your students to continue with another instructor. Any absence longer than three weeks needs a time away request. For medical leave, family leave, and emergencies, submit it as soon as you are able and we will work with you and your students.

Extended time away for vacations, summer performance schedules, or other personal projects is treated differently. Taking more than three consecutive weeks for reasons like those means coming off the Find-a-Teacher page and not receiving new Tunelark students, both while you are away and for a period after you return. How long depends on the circumstances, but it is usually up to 12 months after your leave.

Time away is always planned and communicated, although we understand an emergency can make advance notice impossible. A no-show or an unannounced disappearance is never acceptable unless you are incapacitated and unable to communicate with Tunelark or your students.

Go to Teacher Forms

Find-a-Teacher Placement and Availability

Where you appear on the Find-a-Teacher page depends in part on your current availability, so it will change while your calendar is blocked. Your students booked themselves for their trial lessons via our website and have the ability to schedule, reschedule, or cancel any lesson within their Tunelark dashboard. Not allowing your students to use these tools can cause headaches and lead to student dissatisfaction.

The only reasons you should be updating your students’ lesson schedule for them:

If they have an emergency with less than 24 hours until a lesson: you must process that change because only your dashboard offers you the ability to forgive their lesson fee. We notify them in advance that they need to have Zoom downloaded and logged in when they click “Join Lesson Now,” and we’ve told them you’ll let them know if you use a platform other than Zoom.

It’s not your responsibility to provide free lesson time to accommodate your students’ connection issues. Tunelark is unable to help students with their video connectivity issues.

Think of it this way: if you were teaching in-person and the student’s car broke down, you might extend a few minutes of grace, but you wouldn’t give them a free lesson block and ask the school to fix their car. The online lesson environment is similar: a student’s computer setup, internet connection, and ability to use a video meeting platform are theirs to work out.

Feel free to refer students to Zoom or Google Meet support pages if they can’t figure out how to use those platforms.
